  • Carry out another purpose disclosed to you when the information is collected or with your consent.

We will not use documents submitted for translation or document preparation for unrelated advertising.

4. Confidential and Sensitive Documents

We recognize that client documents may contain sensitive personal information, including immigration status, government identification numbers, financial information, medical information, or information concerning children.

We use such information only as reasonably necessary to:

  • Evaluate and complete the requested service;
  • Communicate with you about the project;

Individuals receiving access to client documents are expected to maintain appropriate confidentiality.

5. Translation Technology, OCR, and AI-Assisted Tools

We may use translation-memory software, optical character recognition, terminology-management software, automated formatting tools, or AI-assisted technology to support translation, transcription, formatting, or quality-control activities.

When such technology is used, we seek to:

  • Limit the information provided to what is reasonably necessary;
  • Use appropriate privacy and security settings;
  • Work with providers that offer suitable confidentiality and data-protection commitments; and
  • Prevent the use of client documents for unrelated advertising or unrelated model training.

We do not sell client documents or authorize service providers to use them to train public or general-purpose artificial-intelligence models for their own unrelated purposes.

Customers with confidentiality requirements that prohibit particular automated tools should notify us in writing before submitting documents or accepting a quote. Availability, timing, and pricing may differ for human-only workflows.

6. How We Disclose Personal Information

We may disclose personal information to the following categories of recipients.

Translators and project professionals

We may provide project materials to translators, editors, proofreaders, notaries, document-preparation personnel, or other professionals involved in completing the requested service.

Website Hosting — Hostinger

Our website is hosted by Hostinger.

When you access our website, Hostinger may process technical information necessary to deliver, operate, maintain, and secure the website. This information may include:

  • Your Internet Protocol address;
  • The date and time of the request;
  • The page or file requested;
  • Browser and device information;
  • Operating-system information;
  • Referring website information;
  • Server-status and error information; and
  • Information used to detect abuse, attacks, or unauthorized activity.

Hostinger processes website and customer data on our behalf to provide hosting, storage, security, backup, and related technical services.

Information submitted through the website, including contact information, messages, and uploaded files, may be stored on systems operated or supported by Hostinger.

Hostinger may process information in the United States or in other countries where Hostinger or its approved service providers operate. Hostinger maintains its own privacy policy and data-processing terms.

Google Analytics 4

We use Google Analytics 4, commonly called “GA4,” to understand how visitors use our website and to improve its operation, content, and performance.

Depending on your cookie preferences and our configuration, Google Analytics may process information such as:

  • Pages viewed;
  • Links or buttons selected;
  • Date and time of visits;
  • Session duration;
  • Approximate geographic location;
  • Browser type;
  • Device type;
  • Operating system;
  • Screen resolution;
  • Referring website or traffic source;
  • Website-performance information;
  • An abbreviated or otherwise processed Internet Protocol address;
  • Cookie or device identifiers; and
  • Events generated through interactions with the website.

We use this information primarily in aggregated reports to understand website traffic, identify technical problems, and determine which pages or services are most useful to visitors.

Google Analytics is provided by Google LLC. Google may process analytics information on servers located in the United States or other countries.

We do not intentionally send the contents of documents uploaded for translation, information entered into private customer communications, or sensitive identification documents to Google Analytics.

Website forms and Google Tag Manager must be configured so that sensitive form contents, uploaded-document contents, names, email addresses, telephone numbers, passport numbers, or similar directly identifying information are not transmitted to Google Analytics.

Google Tag Manager

We use Google Tag Manager to manage and deploy certain website scripts, including Google Analytics 4.

Google Tag Manager is a tag-management system. It allows us to control when analytics and similar technologies are loaded on the website.

Google Tag Manager does not replace Google Analytics. The information collected depends on the individual tags configured inside Google Tag Manager.

Google Tag Manager may process technical connection information when it is loaded, such as an Internet Protocol address, browser information, device information, and the date and time of the request.

We do not use Google Tag Manager to intentionally transmit uploaded translation documents or sensitive customer-document contents to Google.

Complianz Consent Management

We use Complianz to display and manage our cookie notice and visitors’ privacy preferences.

Complianz may:

  • Record whether a visitor accepted or rejected a cookie category;
  • Store the visitor’s cookie preferences;
  • Communicate consent choices to Google Tag Manager and Google Analytics;
  • Prevent or limit certain technologies according to the selected preferences;
  • Allow visitors to change or withdraw their cookie choices; and
  • Maintain records needed to demonstrate or manage consent.

The specific behavior of Google Analytics depends on our Complianz and Google Consent Mode configuration.

When analytics consent is granted, Google Analytics may place analytics cookies and collect the analytics information described above.

When analytics consent is denied, analytics storage is denied. Depending on the Google Consent Mode configuration, Google services may be completely blocked or may receive limited, cookie-free technical signals. Such limited signals are not intended to store an analytics identifier on the visitor’s device.

Visitors can review or change their cookie choices by selecting the cookie-settings or privacy-preferences control displayed on the website.

Cookies and Similar Technologies

Our website uses cookies and similar technologies for necessary website functions, consent management, security, and analytics.

Necessary cookies

Necessary cookies support functions such as:

  • Website security;
  • Network management;
  • Cookie-preference storage;
  • Fraud prevention;
  • Form operation; and
  • Other functions required to provide the website.

Necessary cookies cannot always be disabled through our cookie banner because the website may not operate properly without them.

Analytics cookies

With the visitor’s applicable consent or choice, Google Analytics may use cookies such as _ga and related identifiers to distinguish one website visitor or session from another and generate website-usage statistics.

Analytics cookies help us understand:

  • How many people visit the website;
  • Which pages are visited;
  • How visitors reach the website;
  • How visitors navigate the website;
  • Whether errors occur; and
  • How the website can be improved.

The exact cookie names, providers, purposes, and expiration periods should be listed in the cookie declaration generated and maintained through Complianz.

Managing cookies

Visitors can manage cookies through:

  • The Complianz cookie banner;
  • The website’s cookie-preferences control;
  • Browser privacy settings;
  • Device settings; and
  • Available browser extensions or opt-out tools.

Rejecting analytics cookies will not prevent visitors from requesting a quote, contacting us, or obtaining translation services. Some nonessential website features may function differently when cookies are rejected.

Locally Hosted Google Fonts

Our website uses font files originally provided as part of Google Fonts. These font files are stored and delivered locally from our own website or hosting environment.

Because the fonts are hosted locally, a visitor’s browser does not need to connect to Google’s font servers solely to display these fonts.

We therefore do not disclose a visitor’s Internet Protocol address or browser information to Google merely because the website displays a locally stored Google font.

Local font files may still be delivered through our hosting provider as part of the normal process of loading the website.

Categories of Service Providers

We may disclose or make personal information available to service providers that assist us with operating the website and providing our services, including:

  • Hostinger, for website hosting, storage, security, and related infrastructure;
  • Google LLC, for Google Analytics 4 and Google Tag Manager;
  • Complianz, for cookie and consent-preference management;
  • Payment processors used to process customer payments;
  • Email and communications providers;
  • Secure file-transfer or cloud-storage providers;
  • Translators, editors, proofreaders, and other professionals needed to complete requested services;
  • Accounting, legal, security, and technical-support providers; and
  • Shipping or delivery companies when physical delivery is requested.

These providers may process information only as reasonably necessary to perform services for us, comply with applicable law, protect their systems, or fulfill other purposes described in their respective agreements and privacy notices.

Do Not Track and Global Privacy Control

Some browsers provide “Do Not Track” settings. Because no uniform technical standard applies to all Do Not Track signals, our website may not respond to every such signal.

Where required by applicable law and technically supported, we will make reasonable efforts to recognize browser-based opt-out preference signals, such as Global Privacy Control, for the browser or device sending the signal.

Visitors may also exercise available choices through the Complianz cookie-preferences control.

No Sale of Analytics Information

We do not sell translation documents, customer communications, contact information, or Google Analytics information for money.

We do not use uploaded customer documents for interest-based or cross-context behavioral advertising.

Unless separately disclosed in an updated policy or cookie notice, we do not use Google Analytics information to create advertising audiences based on the contents of documents submitted for translation.

7. Sale of Personal Information and Targeted Advertising

We do not sell personal information for money.

We do not sell client documents, translations, government identification information, immigration information, financial information, or other sensitive information.

We do not share client documents for cross-context behavioral advertising or targeted advertising based on activity across unrelated websites or applications.

Where applicable law treats certain advertising or analytics disclosures as a “sale,” “sharing,” or targeted advertising, you may submit an opt-out request using the contact information below. Where required, we will also honor recognized browser-based opt-out preference signals, such as Global Privacy Control, for the browser or device sending the signal.

8. Cookies and Similar Technologies

Our website and its service providers may use cookies, pixels, local storage, server logs, and similar technologies.

These technologies may be used to:

  • Operate the website;
  • Remember preferences;
  • Maintain security;
  • Identify and correct technical errors;
  • Measure website traffic and performance;
  • Understand how visitors use the website; and
  • Evaluate communications or advertising, where used.

You can generally control cookies through your browser settings. Blocking some cookies may affect website functionality.

Where legally required, nonessential cookies will be used only after obtaining the required consent or providing an appropriate opt-out mechanism.

9. Communications and Marketing Choices

We may send communications necessary to provide requested services, including quote responses, payment notices, project questions, delivery notifications, and security notices.

You may unsubscribe from promotional email communications by using the unsubscribe instructions in the message or contacting us.

Opting out of promotional communications will not prevent us from sending transactional or service-related communications concerning an active project, payment, legal matter, or security issue.

You may request that we stop promotional text messages by replying “STOP,” where supported. Message and data rates may apply.

10. Data Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, including to:

  • Complete and deliver requested services;
  • Permit reasonable corrections, revisions, or customer support;
  • Maintain transaction, tax, accounting, and business records;
  • Comply with legal and regulatory obligations;
  • Resolve disputes;
  • Enforce agreements; and
  • Protect against fraud and security incidents.

Retention periods depend on the type of information, the sensitivity of the information, the nature of the service, legal requirements, and whether an ongoing business relationship exists.

Project documents may be deleted or securely disposed of when they are no longer reasonably required. Some information may remain in secure backups for a limited period until the backup is overwritten or deleted through normal system processes.

You may request earlier deletion, although we may retain information where retention is reasonably necessary or legally permitted.

11. Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, destruction, loss, or misuse.

Safeguards may include:

  • Access restrictions;
  • Password and account controls;
  • Secure communications and storage tools;
  • Confidentiality obligations;
  • Vendor review;
  • Malware and security protections;
  • Backup and recovery procedures; and
  • Secure deletion or disposal practices.

No website, email system, file-transfer method, or electronic storage system is completely secure. We therefore cannot guarantee absolute security.

Please avoid sending highly sensitive documents through an insecure or unapproved communication channel. Contact us to ask about available document-submission methods.

12. Your Privacy Rights

Depending on your state of residence and applicable law, you may have the right to:

  • Confirm whether we process your personal information;
  • Request access to personal information we maintain about you;
  • Request correction of inaccurate personal information;
  • Request deletion of personal information;
  • Request a portable copy of certain personal information;
  • Withdraw consent where processing is based on consent;
  • Opt out of the sale or sharing of personal information;
  • Opt out of targeted advertising;
  • Opt out of certain profiling that produces legal or similarly significant effects;
  • Restrict or opt out of certain uses of sensitive personal information;
  • Appeal a decision concerning a privacy request; and
  • Receive equal service without unlawful discrimination for exercising a privacy right.

These rights are subject to legal exceptions. For example, we may retain information necessary to complete a requested transaction, comply with law, detect fraud, maintain security, exercise legal rights, or preserve required business records.

Submitting a request

You may submit a privacy request by:

Please describe the right you wish to exercise and provide sufficient information to identify the relevant records.

Verification

We may need to verify your identity before completing a request. Verification may require confirming contact information, project details, transaction information, or other information reasonably related to your prior interactions with us.

We will not request more information than reasonably necessary to authenticate the request.

Authorized agents

Where permitted by law, you may designate an authorized agent to submit a request on your behalf. We may require proof of the agent’s authorization and may separately verify your identity.

Response timing

We will respond within the period required by applicable law. Where no specific period applies, we will endeavor to respond within 45 days. We may extend the response period when reasonably necessary and legally permitted.

Appeals

When applicable, you may appeal our refusal to take action by emailing contact@wetranslateflorida.com with the subject line “Privacy Appeal.” Include the original request and explain why you believe the decision should be reconsidered.

13. Florida Residents

We Translate Florida is based in Florida and handles personal information in accordance with applicable Florida and federal law.

We take reasonable measures designed to protect electronic personal information. If we determine that a security incident requires notice under applicable law, we will provide legally required notifications to affected individuals and government authorities.

The Florida Digital Bill of Rights applies only to businesses meeting specific statutory requirements. Where it applies to our activities, Florida residents may exercise applicable rights through the request methods described above.

Even where a particular Florida statutory right does not legally apply, we may choose to honor a reasonable privacy request unless doing so would conflict with legal obligations, affect another person’s rights, prevent completion of a requested service, or impose a disproportionate burden.

14. Residents of Other U.S. States

Privacy laws in some U.S. states provide additional rights concerning access, correction, deletion, portability, sensitive information, targeted advertising, sale or sharing, and appeals.

We will evaluate requests under the law applicable to the requester. Nothing in this Privacy Policy limits rights that cannot legally be limited.

15. Children’s Privacy

Our website and services are intended for adults and are not directed to children under 13. We do not knowingly invite children under 13 to submit personal information directly through the website.

We may process documents containing information about a child when the documents are submitted by a parent, legal guardian, or another authorized adult for a legitimate translation or document-preparation service.

A parent or legal guardian who believes a child has submitted information directly to us without appropriate authorization may contact us to request review and deletion.

16. Information Concerning Other People

Documents may contain information about spouses, children, relatives, employees, clients, witnesses, or other third parties.

Before submitting such information, you are responsible for confirming that:

  • The submission is lawful;
  • You have any authorization or consent that may be required;
  • The information is relevant to the requested service; and
  • You are not prohibited from disclosing it by a court order, confidentiality obligation, or other legal restriction.

17. International Visitors and Data Transfers

We Translate Florida operates in the United States. Information submitted from outside the United States may be transferred to, stored in, and processed in the United States or another country where our service providers or translators operate.

Privacy laws in those locations may differ from the laws of your country. Where legally required, we will use appropriate safeguards for international data transfers.

18. Third-Party Websites and Services

Our website may contain links to third-party websites, social-media platforms, payment services, messaging services, maps, or other external services.

Those services operate under their own privacy policies and terms. We are not responsible for the privacy or security practices of a third party that independently controls your information.

Information you submit directly through WhatsApp, Instagram, Facebook, a payment processor, or another third-party platform may also be processed by that platform according to its own policies.

19. Changes to This Privacy Policy

We may update this Privacy Policy periodically to reflect changes in our services, technology, vendors, legal requirements, or privacy practices.

The revised policy will be posted with an updated “Last Updated” date. When legally required, we will provide additional notice or request consent before materially changing how previously collected personal information is used.
